Reminder to Approve webAGENT-Subcontractor (webSUB) Batches

Please review and distribute as appropriate.

This is a reminder to all counties using webSUB to approve all submitted batches and to remind subcontractors to submit their batches in a timely manner.

The Texas Department of Motor Vehicles (TxDMV) Regional Service Centers (RSCs) have recently worked with some counties to resolve several batches dating as far back as 2013. These batches were either not submitted to the county or were not approved by the county. It is imperative all transactions in a batch be approved in a timely manner in order for the customer’s motor vehicle record to be updated appropriately and all fees distributed to the proper funds.

When reviewing batches, you must filter and search within a 30-day timeframe and select the appropriate batch status. You also have the ability to search for a specific batch ID or by a specific plate number. The retention schedule for all transactions processed through webSUB is 1,000 days past the initial batch start date, which is approximately two years and nine months.

Attached are examples and steps for filtering batches that have not been approved to assist your county in identifying outstanding batches. Currently, there are batches dating back to July 2015 that need county and subcontractor action. Please verify and approve any outstanding batches within your county.
