Follow-up Regarding Issues Identified with County Closure Transactions

This is a follow-up to the communication sent on May 15, 2020, regarding issues identified with county closure transactions. 

On April 20, 2020, the Registration and Title System (RTS) Release 9.6.1 introduced the County Closure checkbox to allow a county tax office to process transactions on behalf of a closed county tax office.  Shortly after implementation, the department identified an issue with the batch process for certain transactions with the County Closure checkbox selected where RTS was not properly distributing fees to the processing and closed counties.  A fix was implemented the evening of May 12, 2020, to resolve distribution of fees.

The department is currently reviewing each transaction processed prior to May 12, 2020, to determine if it was impacted by the batch processing issue and will assist in reconciling reports to ensure the correct funds are attributed to the appropriate county.  The department will work with those counties once we know the overall impact.  In the meantime, counties should continue to remit the total amount shown on page 2 of the COGNOS Funds Remittance Report.  Information will continue to be provided as reconciliation efforts begin.

In addition, the department is aware of an issue with the COGNOS Funds Remittance Report where the fee details are not being reflected correctly.  While the fee details may not be correct, the total amounts reflected on page 2 of the COGNOS Funds Remittance Report are correct.  Programming to resolve the detail information on the report is underway and we will keep you updated on the resolution as the programming is completed.
